How to use the pro-rata salary calculator

The formula

Pro-rata salary = full-time salary × working fraction, where the fraction is either your FTE (e.g. 0.6) or days worked ÷ full-time days (e.g. 3 ÷ 5 = 0.6). The hourly rate stays the same as the full-time role: full-time salary ÷ (full-time hours × 52).

What does FTE mean?

FTE stands for Full-Time Equivalent. A person working 3 days a week in a 5-day-week organisation is 0.6 FTE. HR teams use FTE to compare part-time and full-time pay fairly and to count workforce size in budgets.

Beyond salary

Leave entitlement, pension contributions, and many benefits are also usually pro-rated by the same fraction — try the Annual Leave Calculator for the holiday side of the calculation.

Example

£40,000 full-time salary at 0.6 FTE (3 days a week) = £24,000 per year — £2,000 per month, at the same £19.23/hour as the full-time role.

Frequently asked questions

What is the pro-rata salary for £40,000 at 0.6 FTE?

£40,000 × 0.6 = £24,000 per year.

Does the hourly rate change for part-time staff?

No. Pro-rata means the rate per hour is identical to the full-time role; only the number of hours (and therefore total pay) changes.

How do I convert days per week to FTE?

Divide days worked by full-time days: 4 days in a 5-day week = 0.8 FTE; 2.5 days = 0.5 FTE.

Is pro-rata used outside the UK?

Yes — the same principle applies in the US and elsewhere, though the term "pro-rata" is most common in UK HR. US teams often say "prorated salary" or quote the FTE.
